When Fokker Services met Rusada: a case study demonstrating how Envision can be implemented to increase profitability and optimise processes

At Aircraft Commerce’s Airline & Aerospace MRO & Flight Operations IT Conference, which took place in Amsterdam mid-June, Rusada demonstrated how its ‘Envision’ MRO software has helped Fokker Services improve operational efficiency and streamline processes.
Here we will explore why Fokker Services chose to adopt the solution, taking a look at the decision process, the phases involved with upgrading a legacy IT system to a new end-to-end MRO platform and the key benefits that comes from operating with Envision software.

Searching for a forward-thinking IT solution

Fokker Services provides the industry with an array of solutions, including: component availability programmes, flight-hour based component repairs, lessor aircraft redelivery, aircraft MRO, VIP aircraft conversions, engineering and documentation support and aircraft modifications.

And like many other aviation companies, the company was operating with legacy systems that failed to optimise operational efficiency, maintenance processes, profits and company-wide communication.

Thus, identifying the legacy systems as a hindrance was the first step for Fokker Services in moving towards a more efficient future.

Indeed, the company understood that it would benefit from using a more streamlined and integrated IT infrastructure, which could provide it with the tools that it needed to access crucial company data anytime, anywhere – something that was particularly appealing to its redelivery services unit.

However, it believed that upgrading its existing legacy systems over to a new platform would be quite a challenge.

But, thanks to Fokker Services’ ambition to be an “innovative aerospace service provider of affordable and reliable availability solutions to airlines, OEMs and MROs”, the company decided the way forward would be to adopt an advanced IT solution that complimented its forward-thinking approach.

But before it could embark on the thorough selection process, it outlined some core goals that it expected to achieve, with the help of a new Enterprise resource planning (ERP) system, which were:

  • To optimise the system supporting the business by standardising work, improving operational efficiency while eliminating waste, increasing profitability and optimising processes.
  • Reduce the IT application landscape
  • Upgrade its current out-dated system

A thorough selection process

Certainly, there are many things to consider when investing in a new technology, especially if it could affect the way in which a business operates.

And, despite the benefits of adopting an advanced IT software, a risk analysis had to be carried out by Fokker Services and the following factors needed to be considered: return on investment, how much it would cost/how it would be funded, if/how it could be advanced to suit a growing business’s needs.

Therefore, as demonstrated at the recent Aircraft Commerce conference, Fokker Services carried out a thorough selection process, researching MRO IT system surveys, amongst other things, to discover the best suppliers in the marketplace and compile a shortlist.

After instructing the shortlisted suppliers to demonstrate how their individual systems would carry out a specific scenario and help their business approach it more efficiently, Fokker Services met with the organisations and later made its decision.

In March 2015, the company awarded Rusada with a multi-year contract to provide the knowledge-based aviation services organisation with six of its seven comprehensive software modules (part of its Envision platform), plus annual maintenance support and professional services.

The modules selected as part of the contract were: Fleet Manager, Materials Manager, Maintenance Manager, Finance Manager, Quality Manager and Configuration and Resource Manager.

Let the planning commence

Through seven simple phases, Rusada was able to fully train any staff that would be ‘key users’ of the system at Fokker Services and define exact requirements for enhancements to the system.

During Phase 1, Rusada carried out basic training of Envision with key users, showing them the platform while gaining a better understanding of the scope of the project and exactly what Fokker Services required from the software.

A list of required enhancements were then discussed and the project planning was put into motion, with the two companies defining the actions needed for any tasks/enhancement, along with deadlines for each projects.

The companies entered a more detailed stage when entering Phase 2 before moving onto an progressive phase in which advanced scenario training was carried out for key users to learn how to finalise both setups and static data conversion to the live system.

The final four phases saw Rusada fully prepare Fokker Services to operate successfully with Envision and go live with the system over a carefully planned weekend period.

Training and user guides were prepared, end-user training was carried out and the data conversion process was tested before reviewing the interfaces, reports and any enhancements, to ensure that there weren’t any flaws in the platform.

And some of the enhancements that Fokker Services chose to add to Envision have helped to further improve processes, by customising the information that they are required to input into records on parts, accounts and work orders etc.

For example, the enhancements have enabled the organisation to:

– Issue a work order for a civil customer.

– Issue a warning when a military part is logged against a civil customer.

– Input a Part ECCN code and ECCN source within part details.

– Input the ‘Export Compliance Order Type’ within an account, choosing from Civil, Military or ITA.

– Add information such set-up length of a part and quantity needed (using decimals, which was new feature to Envision following this partnership).

Once the ‘go live weekend’ rolled out as planned, with the support of Rusada’s consultants at Fokker Services’ locations, the post-go live aftercare campaign kicked into action.

Rusada not only assisted with the installation of Envision but it also provided dedicated support beyond the go live date to the company, through reliable and wide-ranging aftercare assistance – and continues to do so.

For example, it ensures that training for existing and new users is readily available and that any new functions or enhancements a customer may want are explored and, wherever possible, developed.

And, thanks to this dedicated approach, Rusada was also able to make the assumed mammoth task of importing legacy data onto the new system a simple one.

In fact, it only took six months to carry out approximately 80 imports of data, including data for nearly 61,000 parts, various capabilities, POs, stock levels and work orders/projects.

In addition, detailed planning and weekly progress reports are conducted, to deliver a status report and ensure that Fokker Services is reaping the benefits of its new IT solution.

The perfect solution

With a suite of comprehensive modules available and the flexibility to customise the solution (not to mention Envision nGen version being rolled out), Rusada continually strives to deliver the perfect solution for aviation organisations to help them evolve in the digital, paperless era.

Good preparation, good teamwork and right spirit did pay off. Let’ s maximise use of new ERP system and capture needed benefits.”

While Rusada was able to deliver an IT system that met Fokker Services business needs, allowing it to replace several of its legacy systems and enjoy improved operational efficiency, the partnership also delivered new benefits and functions to Envision with the introduction of decimal points, thanks to an enhancement requested by the company.
